Degaussers for Banks in India — RBI Compliance

Media disposal is one of the areas Indian bank IT auditors test hardest, and it is where most institutions are weakest. Here is the process RBI expects, the register fields that prove it, and the Proton equipment that satisfies it.

1. Why media disposal is an audit hotspot in Indian banking

Almost every bank has a written information security policy. Far fewer can produce evidence that the media disposal part of it actually operates. The gap matters because:

  • RBI's information security and IT governance expectations require disposal of customer data media to be controlled and auditable.
  • A breach originating from retired media is a reportable incident with a regulatory timeline, and "the drive was in a warehouse" is a difficult narrative.
  • Third-party processors, cloud providers and ITAD vendors are all in scope for the same obligation — and the bank remains accountable for what they do with its media.

4. Destroying under audit observation

Some bank audits ask to witness a destruction run. This is straightforward if the process is real, and impossible to fake if it is not. A good witnessed run looks like this:

  1. The auditor selects three or four assets at random from the asset register.
  2. You pull those exact drives, in front of them, and record their serial numbers.
  3. Each is degaussed, and the LCD field reading is shown and recorded.
  4. Each is then crushed, and the crusher action is recorded.
  5. The register rows are signed by the operator and the custodian in the room.
  6. A drive that does not spin is included deliberately — demonstrating that failed media is handled identically.

Which degausser do Indian banks usually buy?
For a bank headquarters or large regional office with an IT audit function, the Proton T-5 is the usual answer on throughput, with the T-4 chosen where secure-room installation without mains matters. For a city-level office the T-1.5 is typical. Many banks also run a PDS-100 for physical destruction and a PDS-88 for flash.
Do bank branches need a degausser each?
Often not. Centralising destruction at a hub and using a vetted ITAD vendor is common. Where branches hold removable media, decommissioned laptops or loaner devices, a Proton 1100 wand plus a PDS-75 is the practical answer.
What will an RBI IT auditor ask us for?
The media disposal policy and its version history, evidence it is applied, a sampled destruction register with per-cycle verification, operator training records, the contracts and audit rights for any outsourced disposal, and details of how failed media, backups and off-site tape are handled.
Do we need a crypto-erase capability as well as a degausser?
It helps for self-encrypting drives that stay in your control, but it is not a substitute. Degaussing is the method that works on failed drives and on media you are about to hand to a recycler.
What about ATMs and card personalisation equipment?
ATMs and POS terminals hold card data and keys. They need a documented wipe or destruction process, and where devices are redeployed they need verified sanitisation — degauss any HDD inside, and shred the flash where the device is disposed of.
